Kyoto monthly apartment cancellation: what to ask before you pay
Before you pay a Kyoto monthly apartment deposit or initial fee, get cancellation windows, non-refundable cleaning, and change rules in writing with the quote.

Monthly and weekly products in Kyoto often look flexible until money moves. Cancellation (キャンセル), date changes, and partial refunds sit in operator rules — not in a shared industry standard. Ask before you transfer, not after the wire clears.

Why cancel rules matter more than the tease price
A listing “from ¥X/month” does not tell you:
- When a reservation becomes binding
- What happens if your flight slips by a week
- Which line items (cleaning, linen, insurance) stay charged if you cancel
- How long a quote stays valid before prices or stock change
Treat quote + cancel policy as one package. A cheaper room with opaque cancel rules can cost more than a clearer one if plans move.
Get the rules in writing with the quote
Get cancellation windows and non-refundable line items in writing with the quote — before you pay.
Ask the operator to include cancel / change terms in the same email or PDF as the quote, not as a link to a general FAQ alone.
Useful prompts (JP + English):
- キャンセル規定を見積もりと一緒に教えてください。 / Please include the cancellation policy with this quote.
- 入金後のキャンセル期限と返金額を日付ごとに教えてください。 / After payment, what refund applies by date?
- 日程変更は可能ですか。手数料はありますか。 / Can dates change, and is there a fee?
- 清掃費・初期費用は返金対象外ですか。 / Are cleaning and initial fees non-refundable?
Save the reply. Website FAQ text can differ from what that operator applies to your building and stay length.
Cancellation windows (category pattern)
Operators vary, but the shape of rules often looks like this:

| Quote only | Validity window (見積有効期限). No money moved yet — still ask when stock holds. |
| After application / reservation hold | Whether a hold fee exists and if it rolls into the stay or is forfeit on cancel. |
| After initial payment | Graduated refund by days-before-check-in vs flat “no refund after pay.” |
| After move-in | Early departure (途中解約) — pro-rate rent or not; cleaning still due. |
Do not assume hotel-style free cancellation. Monthly mansion products frequently tighten once payment or contract signing happens.
Non-refundable cleaning and initial fees
Even when rent is partly refundable, these often stay charged (confirm in writing):
- 清掃費 / cleaning — flat move-out or move-in clean
- 初期費用 / initial fees — setup, admin, linen pack, insurance product
- 事務手数料 / admin — sometimes bundled into 初期費用
- Optional rentals already ordered (Wi-Fi kit, bedding upgrade)
Ask for a line-item refund table: which rows return at 100% / partial / 0% if you cancel N days before move-in.
Date changes vs full cancel
Many solo mid-stays fail on slip, not walk-away. Separate questions:
- Can you shorten or extend after booking?
- Can you shift move-in by a few days without restarting the quote?
- Does a change count as cancel + rebook (and trigger the same penalties)?
Get answers tied to your proposed dates, not a generic “flexible” marketing line.
Checklist before you transfer
- [ ] Cancel / change policy attached to this quote (not only a general FAQ)
- [ ] Refund table by days-before-move-in for rent and for 初期費用 / cleaning
- [ ] Date-shift rules separate from full cancel
- [ ] Quote validity date recorded
