Inquiring on Kyoto apartments in English (when the site is Japanese)
Inquire on Kyoto apartments in English when the site is Japanese: EN operators, JP-only sites, aggregators—passport ≠ English UI; reply in-thread.

Kyoto monthly housing lives in three parallel worlds. Some operators finish inquire → contract in English. Many solid rooms sit on Japanese-only sites or aggregator cards where the form, FAQ, and first reply are Japanese. Passport-as-ID does not mean an English UI.
This guide is category process for solo foreigners: which world you are in, how to inquire without inventing a translator desk, and how to keep the thread usable.
Midstay is not the landlord; Pass is approve-to-send outreach in your name. The Kyoto board is in private testing — public board still coming soon. Updates: midstay.app.
Three worlds you will mix
1. English-capable operators
/enpaths, multilingual forms, or EN support chat- Inquire in English; sometimes web contract and payment on their rails
- Fine when their Kyoto inventory matches your dates, ward, and bath gate
- Still confirm eligibility and all-in fees in writing—EN marketing is not a custom quote
2. Japanese-only operator sites
- No reliable English book path; forms and FAQ in Japanese
- “Overseas welcome” may appear only as a JP sentence
- Passport may be listed as acceptable ID on a Japanese page
- Passport ≠ English UI. You can be eligible and still need a JP form
3. Aggregators
- Japanese weekly/monthly boards: submit 空室確認・見積依頼 on a listing
- The listing company replies (often Japanese)
- English multi-provider portals exist nationally; Kyoto depth varies—do not stop at one brand
The room you want may exist in only one of these worlds. Stopping at the first English chain is how central バス・トイレ別 stock disappears from your shortlist.
Passport as ID is not an English interface
Passport as ID is not the same thing as an English UI or an English contract.
Common confusion:
| Signal | What it actually means |
|---|---|
| Passport OK on FAQ | ID type accepted for *some* products |
| Foreigner welcome copy | Marketing—not your dates + status cleared |
| English brochure PDF | May describe a different city or product line |
| No `/en` URL | Expect JP forms and JP replies |
Ask eligibility for your move-in/out and status in the inquiry itself. Do not infer English support from a passport icon.
How to inquire when the UI is Japanese
Practical sequence:
- Identify the room ID and save the listing URL.
- Find the per-room inquire button (空室確認・見積依頼) before the generic contact desk.
- Fill required fields with identical facts (dates, headcount, status).
- In the free-text box, add one short bilingual or English block only if the form allows free text:
- Move-in / move-out - Tourist (観光) or other status as labeled - Hard gate in one line (e.g. separate bath preferred) - “Please reply in this thread; English OK if easier for you.”
- Submit once. Do not open three parallel mails for the same room.
If free text is blocked, the structured fields still carry the hunt—follow up when they reply.
Reply in-thread (even when you write English)
When the operator answers in Japanese:
- Reply in the same thread so history stays attached to the room ID
- Quote the unclear fee line and ask one clarifying question
- Machine-translate carefully; re-ask numbers in writing (初期費用, 光熱費, cleaning, Wi-Fi)
- Keep your English short; desks skim long essays
- Do not restart on a new English address unless they redirect you
Thread discipline matters more than perfect keigo.
What Midstay’s Pass is (and is not)
- Is: draft outreach → you approve → contact sent in your name across providers you select
- Is not: Midstay signing as landlord, agent of record, or merchant of record
- Payment: operator rails (their transfer, form, or link)
When the board opens, use it to reduce tab sprawl; use Pass when you want approve-to-send without pretending Midstay holds the keys. Until then, inquire operators yourself.

Soft next step
Midstay is in private testing. Public signups aren’t open yet, and the public board is still coming soon. Midstay is not the landlord — you pay the operator directly for rent and keys. When the board opens, the path stays: Japanese letter in your name → quote → pay operator. Updates: midstay.app.
